Technology Services Digital Transformation Programme 24/25

Technology Services facilitate many transformational projects across the University, including those run to transform infrastructure and systems in everyday use supporting the work of TU Dublin.

Below are details of some of the major projects currently active (as at May 2024):

DescriptionSupporting the fulfilment of a unified student records management system (SRMS) for TU Dublin, this programme will deliver the technical infrastructure required to enhance the student and staff experience and is a key enabler for Digital Transformation within TU Dublin.

This is a major programme of work, made up of a number of workstreams.

  • CRM Recruit

    Description:  To replace current legacy admissions systems with a unified solution incorporating workflows to manage the full recruitment lifecycle including agent management and fee collection.

    Deliverables:  CRM Recruit to support processing of from International and part-time post-graduate applications for the 2025/26 academic year.

  • Data Migration

    Description:  T
    o migrate data currently residing in the existing campus SRMS systems that is necessary to support the operational requirements of each business capability (e.g. Curriculum, Admissions, Registration, etc.)

    Deliverables:  The successful extraction and cross walking (mapping) of relevant data from the legacy SRMS environments for the 2018/19 academic year onwards.

  • Integration & User Provisioning

    Description:  To design and implement new interfaces between the unified SRMS solution and key University systems Including HR, Finance, Email, and Curriculum, thereby ensuring TU Dublin can accept applications and payments for the 2025/26 academic year.

    Deliverables:  The successful sharing of data between authoritative systems to ensure the unified SRMS has relevant curriculum data and is accessible to appropriate users.

  • Reporting

    Description:  To replace existing legacy reporting systems (e.g. Business Objects, Oracle) with new reporting solutions that will provide tabular and dashboard reports from a unified SRMS.

    Deliverables:  Delivery of new reporting solution(s) providing both operational and management level of reporting based on University priorities.

Phase:  Execution

Estimated Completion Date:  Q4 2024.  
The timeline for the full delivery of this programme of work is September 2025, reflecting the scale and complexity of what is required.

Description:  

The objective of this project is to improve TU Dublin’s cybersecurity. In collaboration with HEAnet and FOX IT the project will supply:  

  • 24x7 Security Monitoring 
  • Incident Detection 
  • Incident Response Advisory 
  • SIEM Platform Management
  • Log Collection 
  • Cyber Threat Intelligence 
  • Community Shared Information 
  • Reporting and Trend Analysis 

Deliverables:   The project will deliver increased cybersecurity in TU Dublin. Cybersecurity is important because it protects all categories of data from theft and damage. This includes sensitive data, personally identifiable information, protected health information, personal information, intellectual property.

Estimated Completion Date:  15/06/2024

Description:  To migrate all devices (Clients, Servers, Macs, Printers) and Applications in TU Dublin, to our new domain, Campus.tudublin.ie / O365 (Azure) and decommission and retire duplicates where they exist.

Deliverables:   

To migrate all resources out of the legacy active directory domains and then decommission these domains.  

  • A list of all TS provided Devices and Applications across TU Dublin by 23.10.23. 
  • By July 31st ,2024, all TU Dublin Devices and Applications that can be migrated to campus.tudublin.ie are migrated to campus.tudublin.ie. 
  • Sufficient Technical training for TU Dublin TS Team to support the migrated devices and applications in the new environment, campus.tudublin.ie. 
  • Quest Migration Team in place.

Estimated Completion Date:  Q4 2024

Description:  

The Aungier Street building hosts the City Campus Data Centre facility where much of the University’s technology services were hosted. In addition to a future requirement to vacate the building, the current storage and compute hardware hosting these services is at end of life and nearing end of support. An alternative means of hosting these technology services was required.

Based on the outcomes of evaluation exercises, the technical implementation team recommended proceeding with an on premise data centre hosting facility at Grangegorman Campus. 

Deliverables:   

  • Move of all servers/storage from Aungier Street to Grangegorman in preparation for Aungier Street closure.
  • Replacement of old equipment with more energy efficient and secure infrastructure.

Extended Scope: 

  • Move and refresh of Estates servers.

Estimated Completion Date:  01/07/2024

Description:  Network upgrade, configuration and enhancement across the University. 

Deliverables:   

  • Network Systems Enhancement (Tallaght campus)
  • Network Systems Convergence

Including:

  • Rollout of modern Aruba Wired and Wireless Network in our Tallaght Campus. 
  • Design and implementation of a converged network for the University to allow the provision if IT Services across the University's three main campus networks   
  • Deployment of new modern Firewall Solution in our Blanchardstown Campus.  
  • Decommissioning of all Legacy Network equipment from our Grangegorman Campus.

Description:  

To replace existing campus-based systems with a single University solution for printing of identity cards for student and staff.  

In line with TU Dublin’s sustainability goals, we will exhaust our stock of City Centre campus by issuing this to all students for the 2024/25 academic year

Deliverables:   

A single card printing solution across the University that will offer: 

  • Integration with access control so that students will have the same level of buildings access, regardless of their default campus 
  • Fulfil requirements of the Official Languages Act​ 
  • Standardised identity cards aligned with TU Dublin branding ​ 
  • Reports on card-printing volumes, lost cards, reprinted cards, etc.​ 
  • Single-sign-on (SSO) for users to the Card portal

Description:  

Deliverables:   Provision/upgrade of audio visual equipment to facilitate hyflex teaching and/or meetings.

Description:  Meeting requirements for Industrial Relations (Forsa), job evaluation scheme.

System to automate the administrative processes involved in the Job Evaluation HR application submissions. 

Deliverables:   

  • Application submission form with automated acknowledgement emails. 
  • Storage of submission data. 
  • Send automated emails to applicants once submissions have been evaluated. 
  • Additional questionnaire for accepted applicants to submit further information and SharePoint site for storage.

Description:  Delivery of Capital Infrastructure. New development on Grangegorman campus to house the Library plus other spaces.
